1. Overview

DentalOS (“we,” “us,” or “our”) operates this website and offers the DentalOS 30-Day New Patient Challenge (the “Challenge”). This Privacy Policy explains what information we collect through our application form, how we use it, and the choices you have. It applies to dental practice owners, practice managers, and other authorized decision-makers who submit an application or otherwise interact with our site.

We do not provide dental treatment and we are not a covered entity under HIPAA. We do not request, and you should not submit, any patient health information, patient names, dates of birth, diagnoses, insurance details, or treatment records.

2. Information we collect

When you submit an application, we collect the contact and practice information you provide, including:

  • First and last name, work email, and practice phone number.
  • Practice name, website URL, city, state, and ZIP code.
  • Number of locations, practice type, and your role.
  • Current patient-acquisition methods, monthly advertising budget range, appointment capacity, lead-response time, and primary marketing challenge.
  • Any optional notes you choose to add (excluding patient health information).
  • Your consent status regarding application contact and optional marketing updates.

We also automatically collect standard technical data such as IP address, browser type, referring URL, and pages visited, through cookies and similar technologies described below.

3. How we use your information

We use the information we collect to:

  • Review your application and assess whether the Challenge is a suitable fit for your practice.
  • Contact you about your application, schedule a qualification call, and send related communications.
  • Provide, manage, and optimize the campaign services described in any signed agreement.
  • Send internal notifications to our team and maintain records in our customer relationship management system.
  • Send occasional marketing updates, but only if you have separately opted in. You may unsubscribe at any time.
  • Comply with our legal obligations and enforce our Terms of Service.

4. How we share your information

We do not sell your information. We share it only as necessary to operate our business: with service providers who help us host the site, manage our CRM, deliver email, and analyze traffic, each under appropriate contractual obligations; with advertising and analytics platforms in a way that does not include sensitive personal information; and where required by law or to protect our rights.

We do not send patient health information to advertising platforms, and we do not include sensitive information in URLs, analytics events, or tracking parameters.

5. Cookies and tracking

We use cookies and similar technologies to understand site usage, measure campaign performance, and improve the user experience. We use consent-aware tracking and review applicable platform policies before enabling advertising pixels or remarketing. You can control cookies through your browser settings, though some site features may not function properly if they are disabled.

6. Data retention

We retain application information for as long as needed to respond to your inquiry, provide our services, and meet legal or accounting requirements. You may request deletion of your information at any time, subject to our legal obligations.

7. Your rights

Depending on your location, you may have the right to access, correct, delete, or restrict the use of your personal information, and to opt out of marketing communications. To exercise these rights, contact us at hello@dentalos.com.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect your information. However, no method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

9. Children's privacy

Our services are intended for dental practice owners and authorized decision-makers. We do not knowingly collect information from children under 16. If you believe a minor has submitted information to us, contact us and we will delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Last updated” date above when we do. Material changes will be posted on this page.
